# Formatting and sending a CV

> Create a branded CV, review the draft, download a client copy and send it from Kepler.

CV formatting is available when it is **enabled for your workspace**. It turns a candidate’s current profile or a parsed CV into a branded, editable draft. Creating and editing drafts requires permission to update candidates.

## Create a formatted CV

  - Open the candidate’s **Documents** tab and click **Format CV** in **Formatted CVs**.

  - Choose a **Source**: **Current profile** uses the saved candidate profile; a named parsed CV uses the details extracted from that file. If the file says **not parsed**, choose **Parse first** and return when extraction finishes.

  - Select a **Template**. If none are available, ask someone with access to **Settings → CV templates** to add one.

  - Expand **More** if you want to change the draft’s name or turn on **Hide contact details**.

  - Choose **PDF** or **DOCX**. Click **open in editor** to review and tailor the draft first, or **Download PDF** / **Download DOCX** to create the file immediately. The editable draft stays in Documents.

> **NOTE:** Cover sheets append the original CV. They require a parsed CV file, produce PDF only and do not offer Hide contact details. Check the original attachment before sharing it.

## Review and edit the draft

Open a draft’s name or choose **Edit** from Formatted CVs. Review the document preview alongside its sections, then edit the content you want to tailor for the client. Watch for **Saved** before leaving; if the editor says **Couldn’t save**, choose **Retry**.

Download the reviewed draft from the editor. The alternate output format is available from the download menu, except for cover sheets. If PDF conversion is slow, the format dialog may offer DOCX instead. If a draft was saved but its file failed to generate, retry the download from that draft.

## Send the CV

  - Choose **Send** from the editor or the draft’s row in Formatted CVs.

  - Search for and choose a **Contact** or **Job**. A job uses its linked contact when available; if it has no contact, add the recipient in the composer.

  - The email composer opens with the CV attached. Review the recipient, attachment and message, then send the email. Opening the picker does not send it.

## Keep client copies current

Existing drafts do not automatically become a new client copy when the candidate’s profile changes. If a draft is marked as out of date, use its rebuild action to create a new draft from the current profile. The original draft is kept; review the new one before sending.

Use **Duplicate** for another editable version. Open the file’s version menu to download an earlier generated file. **Delete draft** removes the editable draft but keeps previously generated files in version history; files belonging to deleted drafts remain listed under **Files from deleted drafts**.
