# Sharing candidates with clients

> Invite a hiring team, preview a shortlist, control shared details and manage client access.

When Client portal is enabled for your workspace, you can give hiring managers access to a job's shortlist. Clients see the candidates you share and the details you allow, then rate, comment or request interviews according to their permissions. This is separate from the public job portal where candidates apply.

## Before you start

Open the job's **Client portal** tab. If the tab is missing, ask your workspace administrator whether this feature is enabled. Managing job portal settings and invitations requires permission to update jobs; sharing and unsharing candidates requires permission to update applications. Workspace defaults under **Settings → Client portal** require workspace-settings access, with update permission to save changes. A visible tab does not necessarily mean you can change every control.

## Prepare the shortlist

  - Turn the job's **Client portal** switch on.

  - Under **Sharing rules**, review the client's ability to rate, comment and request interviews.

  - Open **Edit visibility** to choose which identity, profile, CV and process details clients can see. CV viewing and downloading have separate controls. Review any custom fields too.

  - Keep **Auto-share from stage** off for manual selection, or choose the stage whose incoming applications should be shared automatically. Review visibility before enabling automatic sharing.

Workspace settings provide defaults; a job can override them. After changing field visibility, use **Apply to existing shares** to update candidates already shared. Changing the rule alone is not the final step for existing shares.

## Invite the hiring team

  - Click **Invite a client** and select the appropriate contacts at the job's client company.

  - Review the invitation permissions and delivery choice.

  - Send the invitation, or create personal links to deliver yourself. When links are shown, copy each person's own link and send it only to that person.

Inviting someone grants access to this job's shortlist; it does not share every candidate in your database. If an email was not sent and the dialog shows a link instead, deliver that link to finish the invitation. Use the hiring-team row menu to **Resend invite** when needed.

## Share candidates and check disclosure

  - Choose **Share candidates** from the Client portal tab, or select candidates in the pipeline and choose **Share with client**.

  - Review the candidates and any visibility changes in the sharing dialog. For an individual candidate, inspect the client preview before confirming.

  - Choose **Blind** if you want the client to see an anonymised candidate. This hides identifying fields and redacts the CV. Your recruiter note is **not** redacted: remove names or other identifying details from it yourself.

  - Add a useful note for the hiring team, choose whether to notify them now, then share.

Use **Shared with the client** to check which candidates are shared, who has viewed them, ratings, comments and interview activity. Review the actual preview and CV before sharing sensitive information; do not assume a hidden name removes identifying details from everything you write.

## Respond to feedback

The shortlist shows ratings and comments, and **Recent client activity** helps you spot new feedback. Open the candidate to follow up and reply to comments. An interview request gives you the client's preferred availability; it does not book a calendar event. Review the request and arrange the interview through your normal scheduling workflow. Scheduling and declining requests depend on your interview permissions.

## Remove a candidate or stop access

  - **Unshare** in the shared-candidates table removes that candidate from the client's shortlist.

  - **Revoke access** in a hiring-team member's menu stops that person's access to the job immediately. Their existing ratings and comments remain, and you can invite them again later.
