# Welcome to Kepler — a quick tour

> What Kepler is, how the app is organised, and the five things to do in your first hour.

Kepler is an all-in-one, AI-powered CRM for recruitment agencies. It brings your client companies, contacts, candidates, jobs, pipeline and placements into one place — with email, calendar, job advertising, an AI assistant and meeting notes built in rather than bolted on.

## How the app is organised

Everything lives in the left sidebar, organised into three groups:

  - **General** — **Dashboard**, **Notifications**, **Assistant** and **Reports**. Your daily operating view.

  - **Workspace** — **Communications**, **Calendar**, **Calls**, **Tasks** and **Notes**. The work you do around your records.

  - **Recruiting** — **Companies**, **Contacts**, **Jobs**, **Candidates**, **Pipeline**, **Placements** and **Lists**. Your records, from first client call to invoice.

**Search** sits above these groups — Kepler's fastest way to get anywhere. Press `Cmd/Ctrl + K` from any page and start typing a name, company, job title or email address.

Open the workspace menu at the top of the sidebar for workspace and account settings, the Help Center, workspace switching and log out.

## The record model in 60 seconds

  - A **Company** is a client (or prospect) you recruit for.

  - A **Contact** is a person at a company — typically a hiring manager.

  - A **Job** is a vacancy you're working, linked to a company.

  - A **Candidate** is a person you might place. Candidates join a job's **pipeline** as applications and move through stages you define (for example Sourced → Applied → Screen → Submitted → Client review → Interview → Offer).

  - An application also carries an **outcome** — placed, rejected or withdrawn — recorded separately from its stage, so history is never lost. See [Recording outcomes](/support/articles/recording-outcomes/).

  - A **Placement** records the deal — fee, splits, start date, invoicing and aftercare.

Record pages show the tabs relevant to that record type — communications, notes, tasks, files and a full **History** timeline among them — so the whole story stays attached to the record. The exact tabs and the default tab vary by record type.

## Your first hour — a checklist

  - **Set up your workspace.** Name it and check the basics under **Settings → General**. See [Setting up your workspace](/support/articles/set-up-your-workspace/).

  - **Connect your email and calendar.** Kepler syncs your inbox and attaches threads to the right records automatically. See [Connecting your email](/support/articles/connect-your-email/).

  - **Invite your team.** Add colleagues and assign roles under **Settings → Members**. See [Inviting your team](/support/articles/invite-your-team/).

  - **Import your data.** Bring candidates, contacts and companies across from your previous CRM, a CSV, or a stack of CVs. See [Importing your data](/support/articles/import-your-data/) and [Adding candidates from CVs](/support/articles/import-candidates-from-cvs/).

  - **Open your first job** and add candidates to its pipeline. See [Creating jobs](/support/articles/creating-jobs/).

> **TIP:** AI runs throughout Kepler — CV parsing, criteria-based candidate matching, the Kepler Assistant , meeting notes and autofilled attributes — with anything that changes your data routed through Notifications for your approval. AI is part of the plan on every seat; on-demand actions draw on your monthly AI allowance. See Billing & seats .
