7 best Carerix alternatives for recruitment agencies in 2026

Carerix sells four editions, publishes a price for none of them, and keeps the portals, automated matching and CV parsing in the top one. This is the list a Benelux agency shortlists against it — every price from the vendor’s own page, every product’s real advantage over Kepler stated plainly, and an honest note on what none of the seven replaces.

Why do agencies look for a Carerix alternative?

The reasons an agency looks past Carerix are structural, visible on its own editions and pricing pages rather than in anyone’s opinion. Five recur.

  • No edition has a published price. Carerix’s demo page describes the licence as a fixed amount per user per month depending on edition, users and integrations, with a price indication after the demo. None of the four editions carries a figure (13 Sep 2026).
  • The features move up the editions. Automated CV Parsing and the Data Connector begin at Premium; the automated matching assistant and the portals are listed in the top edition only. Each edition carries a task allowance — 1,000, 5,000, 20,000 and 50,000 “taken” — with no published definition of a task.
  • The AI is fenced by design. Carerix’s own Private AI page states that the system is fully scoped to candidate, vacancy and matching-related support and that general questions return an error — a reasonable safety decision that also means the AI cannot answer a question spanning the workspace.
  • API access and webhooks are a paid bundle. Both sit in the Carerix Datasource bundle, requested through a Customer Success Manager; webhooks are rolling out gradually with a fair-use cap.
  • The careers site is bought separately. Carerix helps with the purchase of a recruitment website through partners and publishes vacancies to it with a WordPress plugin. Migration in is not published; it runs as a project.

None of those is a reason for a detachering or uitzend agency to leave. Contracts, hours and invoicing in one system, the Dutch back-office connectors and anonymisation once a lawful basis lapses are what Carerix sells, and no alternative below replaces the connectors or the anonymisation. The list is for the Benelux agency that bills placements, or has decided to run pay and bill elsewhere.

How we evaluated these alternatives

Every claim about another vendor comes from that vendor’s own public material, read on the dates in the sources list, and every price is the plan that carries the AI features rather than the cheapest tier. Where a vendor does not publish a price, this post says so. Kepler publishes this page and is one of the seven, so read the Kepler entry as an interested party’s account.

1. Kepler

What it is

Kepler is a recruitment CRM built around one assistant and a searchable database. A single agent in a sidebar on every page — roughly fifteen tools, results returned as record sets you can save as a list — reads the whole workspace and can create and update records once you approve the change, where Carerix Private AI is fenced to candidate, vacancy and matching support. Search is hybrid semantic and keyword retrieval across CVs, notes, email threads and call transcripts; matching returns a ranked shortlist with a verdict and a source for every requirement; and emails, calls and messages become proposed field updates you approve or reject, with per-field history and undo. Around that sit pipelines, email and calendar sync, a meeting notetaker, a WhatsApp and LinkedIn inbox, CV parsing and formatting, email campaigns, automations, reporting, a client portal, a consent ledger, a job board on your own domain, and a public API with webhooks. It suits a permanent or contingency agency that bills on placement.

Pricing

USD 99 per user per month billed annually (USD 1,188 per seat per year), or USD 129 monthly. One edition, every feature included, unlimited records, a monthly AI allowance, and a done-for-you migration free on every plan: you review fifty of your own records before the full load, and it lands in days. Full workspace export at any time, no exit fee.

What Kepler does not do

Kepler has no contracts, timesheets, invoicing or payroll; no AFAS, Exact, Twinfield, Youforce, Easyflex or HelloFlex connectors; no candidate, hiring-manager or supplier portal; no SMS inbox and no WhatsApp automations; no multiposting; no mobile app; and no ISO 27001. Its consent ledger records lawful basis, purpose, framework and valid-until per person and flags expiry, but it never anonymises or deletes. Carerix ships every one of those, and for a detachering or uitzend agency that is the whole decision.

What it is

Spott describes itself as an AI-native ATS and CRM for recruitment agencies, EU-weighted, with a weekly changelog and roughly thirty integrations. Its approach to AI is many discrete features — CV diffing, enrichment, matching, text-to-filters, inbound triage, call mining, scorecards, CV reformatting — each with its own toggle. It is the nearest European peer to Carerix here: EU-hosted, ISO 27001 certified and, unlike Carerix, priced on the website.

Pricing

Spott Pro is USD 199 per user per month billed annually or USD 249 monthly (spott.io/pricing, 13 Sep 2026): the tier that adds automations, multi-channel sequences, a marketing suite and data enrichment to Core’s notetaker, search and matching. Core is USD 139 annual or USD 169 monthly and drops those four. AI token spend is included in every plan; enrichment credits cost extra. Spott runs the migration, typically four weeks; no fee is published.

Where Spott is ahead of Kepler

Spott models opportunities with a closing-rate per stage, so a board shows weighted pipeline value; generates interview scorecard templates; integrates seven VoIP providers, Aircall among them, with inbound call cards and SMS threads in the inbox; distributes jobs through Broadbean and idibu; finds missing emails and phone numbers through a waterfall of data providers; ships iOS and Android apps; models company hierarchies; and holds ISO 27001 with EU hosting. What it is

Vincere is a recruitment platform for mid-size agencies in the UK and APAC, sold as Access Vincere Evo by The Access Group and described as trusted by 22,000+ recruiters: a core CRM and ATS surrounded by modules — TimeTemp for pay and bill, Engage and Portals for candidate-facing sites, Vinneo for video — with Access FastTrack360 Evo for payroll alongside. For a Carerix customer that bills hours but does not depend on the Dutch connectors, it is the nearest like-for-like.

Pricing

The like-for-like plan is the CRM and ATS licence from GBP 69 per user per month plus the Base Smart Pack from GBP 25 per agency per month, the pack carrying Copilot, candidate scoring and the content optimiser. Both are UK “from” prices billed monthly with a tailored quote; no annual figure is published (13 Sep 2026). The licence alone carries none of the AI. The enrichment agent, chatbots and CRM automation need the Automate pack from GBP 235 per agency per month; advanced analytics and connectors are paid add-ons.

Where Vincere is ahead of Kepler

Vincere TimeTemp covers timesheets, leave, shift scheduling, pay rules and invoicing, with Access FastTrack360 Evo for payroll beside it; Kepler has none of that. Vincere posts jobs through Broadbean and idibu, sells Access Onboarded for screening, has SMS from the record, native iOS and Android apps, Vinneo for video interviewing, and the LiveList, Engage and Portals products for client- and candidate-facing sites. 4. Bullhorn

What it is

Bullhorn is the incumbent platform for staffing and recruitment: more than 10,000 companies, over 1,400 employees and more than 25 years in the industry, by its own account. It is an ATS and CRM sold in editions, with Bullhorn One layering time and expense capture, invoicing and payroll on top, Amplify carrying the AI, and a Marketplace of 300+ pre-integrated partners. For a Carerix customer at enterprise scale, it has the widest back office and the deepest partner bench.

Pricing

The like-for-like plan is Bullhorn Pro, the small-agency tier that carries the recruitment CRM, AI search and match, Amplify Chat and AI call transcription; it is quote-only, as are Bullhorn Max, Front Office, Bullhorn One and all eight add-ons (bullhorn.com/small-agency-software/pricing, 13 Sep 2026). Starter at USD 99 and Core at USD 165 per user per month are published, but neither carries Pro’s AI or the recruitment CRM. Prices exclude VAT; the billing basis is not stated. Onboarding and Back Office are priced separately.

Where Bullhorn is ahead of Kepler

Bullhorn One captures time and expense, automates invoice creation with signed timesheets attached and runs payroll; Kepler has no timesheets, invoicing or payroll. The Marketplace lists 300+ pre-integrated partners, where Kepler has an API and webhooks. Bullhorn sells VMS Automation, Onboarding, Middle Office and a Credentialing and Compliance Manager, runs SMS campaigns in its Automation product’s upper editions, states SOC 2 and ISO 27001 compliance, and can supply references of any size. Kepler has none of those.

5. Tracker (TrackerRMS)

What it is

Tracker — the site is tracker-rms.com and its footer still reads TrackerRMS — describes itself as the ATS and CRM built for staffing and recruiting agencies, with the ATS, CRM, automation, back office and reporting in one place, sold in the UK and US across four plans. TrackerAI includes EVA, a conversational AI grounded in your Tracker data. For a Carerix customer it is the closest shape: an ATS with timesheets, expenses, invoicing, candidate compliance and payroll integrations inside it, though with QuickBooks, Xero and Sage on the other end rather than the Dutch systems.

Pricing

The plan to put beside the others is Professional — the first with the Sequencer, AutoAction, Watchdogs, REST API and timesheets — priced “Contact Sales” (tracker-rms.com/plans/, 13 Sep 2026); TrackerAI access “varies by tier”. Core is USD 99 and Launch USD 79 per user per month billed monthly, without those features and with Launch capped at five recruiters; no annual figure is published. Six-month minimum, annual discount unpublished, job boards purchased separately, no migration fee published.

Where Tracker is ahead of Kepler

Timesheets, expenses, invoicing, dynamic rates, gross pay and payroll integrations with QuickBooks, Xero and Sage; Kepler has none of it. Candidate compliance that tracks certifications with expiry alerts and can block a candidate without them, where Kepler’s consent ledger tracks no certifications. A shift planner with geo-fenced check-in, a dedicated two-way SMS number with text as a Sequencer step, multiposting to more than a thousand job boards, asynchronous video interviewing, the Tracker OTM mobile app, and around twenty years of operating history. Kepler has none of those.

6. Recruit CRM

What it is

Recruit CRM is an ATS and CRM for recruitment agencies sold in more than a hundred countries; its pitch is breadth at a low per-seat price: calling with recording, bulk texting, sequencing, timesheets, invoicing and a mobile app, with AI features layered across them. It is the only alternative here that publishes an annual price for its AI tier and keeps timesheets and invoicing on every plan.

Pricing

Recruit CRM Business is USD 135 per user per month billed annually or USD 159 monthly (recruitcrm.io/pricing, 13 Sep 2026): the first tier with the fifty-match AI matching allowance, MCP and open API access. Pro is USD 95 annual (USD 109 monthly) with two AI matches and no API or MCP. Enterprise at USD 215 annual bundles the add-ons billed separately below it, Advanced Analytics at USD 25 and LinkedIn Messages at USD 12 per user per month among them. Done-for-you migration is priced by data volume; the CSV import tool is free.

Where Recruit CRM is ahead of Kepler

Recruit CRM sells timesheets, invoicing and contractor pay as a product line and lists invoicing on all three plans; Kepler has no back office. It ships bulk texting with SMS as a sequence step, places and records calls inside the product, multiposts to what it describes as 5,000+ channels, finds missing emails and phone numbers, sources across the open internet, ships Android and iOS apps, and states ISO 27001 and SOC 2 certification. Kepler has none of those.

7. Recruiterflow

What it is

Recruiterflow is an ATS and CRM for search and recruitment firms, built around a multichannel sequencing engine and AIRA, a suite of AI agents each scoped to one task; its website states that 2,100+ search firms use it. It has no back office; it is here for the Carerix customer whose desk is permanent placement run on outbound sequences.

Pricing

The AIRA Plan, which carries AIRA Notetaker, AIRA Matchmaker and the Field Updates Agent, is priced “Let’s chat custom pricing” (recruiterflow.com/pricing, 13 Sep 2026). The Platform Plan is USD 119 per user per month billed annually or USD 149 monthly and drops every AIRA agent, omnichannel sync and custom BI dashboards. No add-ons within a plan. Self-serve import is free; white-glove migration is paid by data volume, 6–8 weeks.

Where Recruiterflow is ahead of Kepler

Its sequences send email, calls, SMS and professional-networking messages natively with branching logic; Kepler’s campaigns send email only. AIRA Source covers 850M+ profiles, and Kepler has no sourcing database. Recruiterflow posts jobs to LinkedIn, Indeed and Glassdoor, models deals with a probability to close, attaches interview scorecards to pipeline stages, and publishes a dozen named case studies. Which Carerix alternative should you choose?

You run detachering or uitzenden and need the Dutch connectors. Stay on Carerix. None of the seven integrates AFAS, Exact, Twinfield, Youforce, Easyflex or HelloFlex, and none anonymises lapsed records; that is a reason to keep the platform and solve a search problem another way.

You bill hours, but the Benelux connectors are not the constraint. Choose Bullhorn at enterprise scale for Bullhorn One and the marketplace, Vincere for TimeTemp with The Access Group behind it, Tracker for a back office with QuickBooks, Xero and Sage on the other end, or Recruit CRM for timesheets and invoicing at a published USD 135. Only Recruit CRM publishes the full price.

You bill placements, and your database is the asset. Choose Kepler: one edition at USD 99 with the portal, matching, CV parsing, API and migration that Carerix spreads across editions and a paid bundle, an assistant that works across the whole workspace rather than inside a fence, and a consent ledger that records lawful basis and expiry. Accept that it flags lapsed consent rather than anonymising it.

You want a newer EU platform with a certification and a price on the website. Choose Spott: ISO 27001, EU hosting, Pro at USD 199, and more modules than Kepler — opportunities, scorecards, seven diallers, enrichment, a mobile app — with no back office either.

Partly, and only Kepler and Spott are documented here on that point. Carerix stores a lawful basis per person with configurable retention terms, expiry triggers, automated renewal-request emails and anonymisation that strips identifying data while keeping the record. Kepler keeps a consent ledger per candidate and contact — purposes, lawful basis, framework (GDPR, UK GDPR, PDPA, CCPA), source, evidence, given and valid-until dates — with a computed state that gates campaign audiences, a nightly sweep that flags expiry, and automations that can send a consent request; it never anonymises or deletes and has no DSAR or retention engine. Spott also records consent with a lawful basis and expiry. If automatic anonymisation is a requirement, Carerix meets it and none of the seven here is documented as doing so.

Can you migrate from Carerix to Kepler?

Yes, and it is free on every Kepler plan. You send an export from Carerix plus any loose CVs, spreadsheets and shared-inbox archives; Kepler handles extraction, mapping, de-duplication and validation, rebuilds your custom fields as real fields rather than flattening them into notes, and shows you fifty of your own records fully parsed before the full load. Activity, stages and history come across, the migration lands in days, and Kepler exports the whole workspace at any time with no exit fee. Two caveats: anything in Carerix doing contracts, hours or invoicing has nowhere to land in Kepler, and a lawful basis and its expiry date land in Kepler’s consent ledger but the anonymisation behaviour does not come with them.

Does any Carerix alternative have a meeting notetaker and a WhatsApp inbox?

Kepler does both: a notetaker joins the call and files the summary, next steps and full transcript against the right record, and a member’s own WhatsApp or a WhatsApp Business number is paired for a two-way inbox on the record, with inbound messages feeding proposals you approve. Kepler has no WhatsApp templates, broadcasts or automations, where Carerix runs WhatsApp automations from its Essential edition and Conversational AI for pre-screening.
