Managing contacts
Track hiring managers and client stakeholders, and keep every interaction attached to the right person.
Contacts are the people you sell to and take briefs from — hiring managers, HR partners, founders. Each contact links to a company and accumulates their own history of emails, notes, tasks and meetings.
Creating contacts
Contacts can be created several ways:
- Manually — from the Contacts page, or from a company's Contacts tab (which pre-links the company).
- From email — with contact creation enabled, people you correspond with become contacts automatically.
- From LinkedIn — save a profile as a contact in one click with the Kepler Chrome extension.
- By CSV import — see Importing your data.
- By AI suggestion — Kepler may propose new contacts it spots in conversations; these arrive in Notifications for approval.
The contact page
A contact page has tabs for Overview, Communications, Calls, Notes, Tasks, Lists, Files and History. The Overview includes a preview of the open roles at the contact's linked company; there are no separate Jobs or Interviews tabs. The Communications tab shows threads matched to the contact's email address from every connected account you're allowed to see.
Linking contacts to companies
Set the company on the contact's Overview tab. Once linked:
- The contact appears on the company's Contacts tab.
- Their conversations contribute to the company's Communications tab.
- They become selectable as the client contact on the company's jobs.
Keeping data fresh
Contacts go stale fast in recruitment. Kepler's AI watches synced conversations for signals — a new job title in a signature, an out-of-office announcing a move — and proposes field updates in Notifications rather than silently editing your data.
A person can be both a contact and a candidate (the hiring manager you place next year). Kepler keeps these as separate records with separate histories, and email threads can appear on both.
