Working with notes

Capture notes and logged calls, meetings and messages in a rich editor, attach them to records, and find them again.

Notes capture what doesn't fit in a field — call summaries, client intel, candidate motivations — along with the calls, meetings and messages your team logs by hand. Attach a note to one or more records when it belongs in their history, or leave it unattached for workspace-wide reference.

Creating a note

  • From Notes in the sidebar — write in the rich, block-based editor (headings, lists, formatting), then attach the records it belongs to.
  • From a record's Notes tab — pre-attached to that record.

Mark notes as favourites, then use the star filter on the Notes page to show only your favourite notes.

Logging calls, meetings and messages

Notes also hold the interactions your team logs by hand. From a record's Notes tab or its Add Activity menu, choose Log call, Log meeting or Log message to record something that happened off-platform.

  • A logged entry takes the same title and body as a note, and adds the direction (Outbound, Inbound or Internal), an outcome (Connected, Left message, No answer, Scheduled, Completed or Requires follow-up) and the date and time it happened.
  • Leave the title blank and Kepler names the entry after its kind.
  • An entry can be reclassified later — a note can become a logged call, and the reverse.
  • Filter by kind with the All / Notes / Calls / Meetings / Messages switch on the Notes tab and the Notes page. Each entry shows an icon for its kind, and a logged entry shows its direction and outcome beside the title.

Meetings captured by your calendar or the AI Note Taker are not Notes entries — those live on the Calls tab with their recordings and transcripts. The Notes tab holds only what a person typed.

Where notes appear

  • On the Notes tab of each attached record.
  • In the record's History timeline, in chronological context with stage moves, meetings and updates.
  • On the workspace Notes page, with the rest of the team's shared notes.
  • In global search results.

Meeting notes

When the AI Note Taker covers a meeting, its structured minutes live with the meeting and linked records — your own notes can stay short and judgement-focused while the transcript holds the detail.

What makes a good CRM note

  • Lead with the decision or outcome, not the chronology.
  • Log calls as calls, not as plain notes — direction and outcome make "how many client calls did we make this month?" answerable later.
  • Record why — "declined: base too low, wants 95k+" beats "not interested".
  • Put facts that belong in fields into fields (salary expectations, notice) — fields filter; notes don't.
