Setting up your workspace

Name your workspace, manage your team, and find your way around Settings.

A workspace is your agency's home in Kepler: every record, email account, job and placement belongs to exactly one workspace, and only members of the workspace can see its data.

Workspace settings

Go to Settings → General (or open the workspace menu at the top of the sidebar and choose Workspace Settings).

  • Workspace Name — your agency or team name. It appears in the sidebar and on invitations.
  • CV Parsing — the English spelling AI uses when it extracts candidate profiles from CVs.
  • AI assistantAllow web research, plus which kinds of change the Assistant may apply without asking.

Team management lives on its own page: Settings → Members. See Inviting your team.

The Settings area at a glance

Settings are split into an Account group (personal — applies only to you) and a Workspace group (shared — intended for owners and admins).

PageWhat it controls
Settings → ProfileYour personal profile — name, timezone and appearance.
Settings → SecurityYour two-factor authentication, and the workspace's MFA and single sign-on policy.
Settings → Communications AccountsConnected Google and Microsoft accounts, sync status and sharing.
Settings → EmailYour email signature and reusable email templates.
Settings → CallsThe AI Note Taker for online meetings, including its meeting-bot identity and summary template.
Settings → SchedulerYour availability and booking link.
Settings → GeneralWorkspace name, CV parsing and AI assistant behaviour.
Settings → MembersSeat usage, active members and their roles, and pending invitations.
Settings → Record CreationRules for when Kepler creates records automatically (for example from synced email).
Settings → AIWhich communication sources AI features are allowed to read.
Settings → Pipeline stagesYour workspace's pipeline stages — names, colours, order and behaviour.
Settings → Job statusesThe lifecycle statuses a job can carry.
Settings → PlacementsPlacement types and the form templates your delivery workflow uses.
Settings → Job PortalYour public careers portal — branding, layout, URL and applicant intake.
Settings → DevelopersAPI keys and webhook endpoints.

Account-group pages (Profile, Security, Communications Accounts, Email, Calls, Scheduler) apply only to you. Workspace-group pages affect everyone and appear only when your role has the required permission, so your Settings menu may contain fewer items than the table above.
