Connect Zoom for meeting notes
Add the Kepler Zoom app, capture a meeting, find your transcript and notes, and disconnect or remove the app.
Connect your Zoom account to Kepler to capture meeting audio and transcripts and produce structured notes in your recruitment workspace. Kepler uses Zoom’s realtime meeting content sharing, so no note-taker bot joins the call.
Before you connect
- You need a Kepler account and access to your workspace at app.keplercrm.com.
- Use the Zoom account you intend to capture meetings with. Your Zoom administrator may need to approve the Kepler app and enable realtime content sharing.
- During beta testing, external accounts need access approved by Zoom before they can install the app. Contact support@keplercrm.com if Zoom says the app is unavailable.
Add and connect the app
- Sign in to Kepler and open Settings → Calls.
- In the Zoom section, select Connect Zoom.
- Sign in to Zoom, review the requested permissions and authorize KeplerCRM. If your organization requires approval, ask your Zoom administrator to approve the app.
- Return to Kepler. The Zoom section should show Connected and the email address of the Zoom account you connected.
- In the Zoom web portal, enable Share realtime meeting content with apps under the Zoom Apps settings, or ask your administrator to enable it if the setting is locked.

Capture a meeting
- Under Settings → Calls, turn on Join my online meetings and review the Note Taker terms if prompted. Choose which meetings to record.
- Start or join your Zoom meeting. Tell the attendees that you will capture the meeting and obtain any required consent.
- Run the KeplerCRM realtime app in Zoom for that meeting, or configure it to auto-start in Zoom’s realtime content sharing settings. Complete any host approval Zoom requests.
- When capture ends, Kepler processes the transcript and generates meeting notes. Connecting a calendar alone does not start Zoom capture.
Find the transcript and notes
Open Calls in Kepler to find the meeting and its processing status. Open the completed meeting to read its structured minutes and transcript. Meeting notes can be linked to the relevant candidate, client and job records. Where available, playback uses a secure, short-lived link.

Disconnect Zoom in Kepler
- Open Settings → Calls.
- In the Zoom section, select Disconnect, then confirm Disconnect.
- Check that the status changes to Not connected.
Disconnecting stops future Zoom capture for your account. Kepler clears the stored OAuth access and refresh tokens and attempts to revoke Zoom authorization. Existing notes and recordings remain in the workspace; disconnecting does not delete them. If Kepler reports that token revocation failed, also remove the app in Zoom using the steps below.
Remove the app from Zoom
- Sign in to the Zoom App Marketplace with the account you connected.
- Open Manage → Added Apps and find KeplerCRM.
- Select Remove and complete Zoom’s removal prompts. If an administrator added the app for you, contact them if you cannot remove it yourself.

If a meeting is not captured
- Check that Kepler shows the correct Zoom account as Connected.
- Confirm that realtime content sharing is enabled in Zoom and that the Kepler realtime app is running or configured to auto-start.
- Check host or administrator approval and your recording scope. External meetings only excludes meetings without an external attendee.
- Look under Calls for a processing error. Use the retry action when it is available.
Data and support
Kepler retains encrypted Zoom OAuth tokens, Zoom user and account identifiers, meeting transcripts and notes to provide the integration. Our Privacy Policy explains processing, retention and data rights; our Terms of Service cover use of Kepler.
